Booking online

Once you have picked your date and time you will have 15 minutes to fill out your booking form. Please make sure you enter all children’s names and ages, any diagnoses, and any special requirements.

When making your online booking a non-refundable deposit is required. This deposit will be deducted from your USB price on the day of photography. 

Booking fee required for:

• 5-Minute Santa Snap, 15-Minute Magical Encounter with Santa, Sensitive Santa and Paws & Claus experiences is $52.50 ($50 deducted from USB price).
• Combined family x 2 – $102.50 ($100 deducted from USB price)., Combined family x 3 – $152.50 ($150 deducted from USB price).

Digital Files Only – No Printed Photos

 There will be no printed photos at The Hideaway. You will receive all photos taken on the day of photography UNEDITED.

USB Policy

If you are an existing customer, please bring your Lasting Memories USB with you, to receive A $20 discount off the total price of your session. If you do not have a Lasting Memories USB, you may purchase one on the day of your photoshoot. If you are bringing back a Lasting Memories USB, please back up all your old photos, as Lasting Memories Photography is not responsible for missing photos or corrupt USBs. Please note that we do not cover Old USBs that are corrupt, damaged, or write-protected. If your USB is damaged and we cannot use it, you will be required to purchase a new one on the day of your photoshoot for an additional $10. For safety and security reasons, photos can only be purchased on Lasting Memories branded USBs. Each family must either provide their own (LMP) USB or purchase one at their photo shoot.

*You will receive all photos taken on the day of photography UNEDITED.

USB Security Policy

Please note that we do not cover Old USBs that are corrupt, damaged, or write-protected. If your USB is damaged and we cannot use it, you will be required to purchase a new one on the day of your photoshoot for an additional $10. 

For safety and security reasons, photos can only be purchased on Lasting Memories branded USBs. Each family must either provide their own (LMP) USB or purchase one at their photo shoot.

Additional Editing

For an additional $30, you can have your photos edited (colour-balanced, sharpened, cropped and black and white). You will still take your unedited photo’s home on the day of your photo shoot. We will email you the edited photo’s, 4 to 5 days after the photo shoot using ‘we transfer’.

Cancellations, Refunds, Rescheduling and Transfer of sessions.

All deposits are non-refundable. If you miss your appointment, you will be required to pay another deposit to make another booking. The only exception to this is illness, where we will accept a medical certificate.

If you do not attend due to illness and do not notify us prior to your appointment, you will forfeit your deposit. If you notify us prior to your appointment and present a medical certificate, we will try our best to reschedule you. We can only reschedule you within the same month you originally booked, providing there is availability. If there is no availability and we have a doctor’s certificate we will refund you $50. You are allowed to reschedule your appointment once only and it must be 48 hours prior to your appointment time. Contact us on 0438246806 or email us at [email protected]. 

Please note that you can only reschedule within the same month of your initial booking. Our availability will be limited so we cannot guarantee that we will be able to reschedule you. We will try our best and if we can find you a spot this will incur an additional $2.50 admin fee. If we cannot find you a spot you will forfeit your deposit. If you reschedule and realize you cannot make that appointment, you forfeit your deposit. If you cancel your appointment, you will forfeit your deposit.

When booking please choose your dates and times carefully as we book out fast, and availability for reschedules will be limited, so therefore not guaranteed.

If you cannot make your appointment time you can give your session to someone else, however we must be notified 24 hours in advance via email to [email protected]. You must supply us with the person’s name, contact number, email, number plate and their children’s names and ages. It is your responsibility to get back your deposit from the person you are transferring your booking too.

On Arrival

Please text 0438 246 806 when you arrive at the studio with your surname, car number plate and the colour of the car. Please remain in your car until it is your turn. You will be invited in via text message.

Arrive on Time: We kindly ask that you aim to be at the studio a minimum of 5 minutes before your session time. Please do not come too early as we can only accommodate a certain number of people comfortably inside the studios. If you have not arrived by your allocated time slot, your time may be cut short and may result in you losing your booking and deposit. Please note that we run on a tight schedule, so please don’t be late.

What to Wear

Feel free to dress in your cosiest and most festive attire! We encourage you to get creative with holiday-themed outfits, Christmas sweaters, or any other fun attire you’d like to showcase in your photos. We also have props you are welcome to use. We’re here to make your photoshoot uniquely yours!

Sitting with Santa

It is up to the individual parents on whether they would like the children to sit on Santa’s knee. Santa is more than happy to hold your babies and sit your children on his lap if that is what you would like. If your child is scared of Santa, please let us know on arrival so we can cater for that as well.

Health and Well-being

If anyone is feeling unwell, or experiencing any flu-like symptoms or vomiting and diarrhoea symptoms, please call us on 0438 246 806 prior to your appointment time. If you have a medical certificate, we will try and reschedule your appointment if there is availability within the same month. If there is no availability, and we have sighted a medical certificate/ PCR COVID test, we will refund you $50. 

If you do not contact us prior to your appointment, you will forfeit your deposit.

What is Included in your Santa Photo shoot.

15-Minute Magical Encounter with Santa: Each family/Group receives approximately 15 minutes. In this time we will take family Photos and children’s photos with and without Santa in 2 rooms of your choice. Please keep in mind that it is not always possible to take photos in both rooms when children are scared, unsettled or uncooperative. 

This year we have 4 different backdrops to choose from, Santa Room, Fireplace Room, Sleigh Room and Barn Room. You choose 2 backdrops included in the price, any additional backdrops are $10 each (Note: the number of extra backdrops we can incorporate will depend on the time and children). We have approximately 15 minutes from start to finish per session. You receive all photos taken unedited on USB after your photo shoot.

Maximum of 10 people for any group photo. If booking cousins for the 15-Minute Magical Encounter with Santa at the Hideaway, please be aware that the cousins can only be photographed as a group (no individual families or swapping groups around). 

After the photo shoot the children will have a few minutes to chat with Santa in the Santa room and receive a small gift.

We only offer photos on USB, there are no printed packages.

Our 15-Minute Magical Encounter with Santa can cater for children with special needs that function in mainstream. Children with sensory issues and special needs usually have enough time to feel at ease, and from experience, in this time we can get some magical photos of your children. 

5-minute Santa Snap:  Family/Group receives approximately 5 minutes. In this time, we will take family photos and children’s photos with and without Santa in 1 room of your choice. It is highly recommend that we take Santa photos in the Santa room when children are scared, unsettled or uncooperative, as we have a better chance of getting great photos using our special tricks in this room. 

This year we have 4 different backdrops to choose from, Snow Room, Lounge Room, Beach Room and Santa Room. You choose 1 backdrop included in the price, any additional backdrops are $20 each, (Note: the number of extra backdrops we can incorporate will depend on the time and children). We have approximately 5 minutes from start to finish per session. You receive all photos taken unedited on USB after your photo shoot. 

Maximum of 10 people for any group photo. If booking cousins for the magical experience at the Hideaway, please be aware that the cousins can only be photographed as a group (no individual families or swapping groups around).

Paws & Claus Experience: Please note that pet sessions are very different to our other sessions (we only take photos in the Santa room). We take photos of the pet with Santa, and we also include the family/children with Santa and the pet (this does not include photos without the pet). For an additional $25 we will take some photos of just the children / family with and without Santa (in the Santa room only).

Pet sessions include approximately 5-minute photography session. You receive all photos taken on the day unedited, on a USB straight after your photo shoot.     

*For the safety of our staff and customers, you must have your pet on a leash or in a carrier and your pet must be washed and groomed.

After the photo shoot the children will have a few minutes to chat with Santa in the Santa room, and each child will receive a small gift.   

We only offer photos on USB, there are no printed packages.

Special Needs (Sensitive Santa): Special needs are an umbrella for many different diagnoses. Children with special needs may have mild learning disabilities or profound cognitive impairment. Special needs are defined as: mental, emotional, or physical problems in a child that requires additional or specialised services or accommodations. 

We will offer special “Sensitive Santa Sessions“ tailored exclusively for children with severe disabilities, however these spots will be limited. We believe that every child’s joy is worth celebrating, and we are committed to making that a reality for children of all abilities.

Our studio in Bringelly is a private studio set up on a rural property. Each family has their own time in the studio with Santa, which is why the experience is even more special. No more hustle and bustle and sensory overload that normally occurs when taking Santa photos in shopping centers.

Our 15-Minute Magical Encounter with Santa experience now offers approximately 15-minute time slots with Santa and can cater for children with special needs that function in mainstream. Children with sensory issues and special needs usually have enough time to feel at ease, and from experience, in this time we can get some magical photos of your children. 

Santa Sessions Prices

USB Prices (including all photos taken unedited)

15-Minute Magical Encounter with Santa (approx. 15 minutes, photos taken in 2 rooms)

– $150 for Returning Customers (must have lasting memories logo). If your old USB doesn’t work, you will be required to purchase a new one for $10. 

– $170 for New Customers.

– Additional room: $10 per room

We extend a warm welcome to children with special needs; kindly provide your child’s name and diagnosis when booking so we can craft a tailored experience to their comfort.

5-minute Santa Snap (approx 5 minutes. Photos taken in 1 Room Only).

– $100 for Returning Customers (must have lasting memories logo). If your old USB doesn’t work, you will be required to purchase a new one for $10. 

– $120 for New Customers.

-Additional rooms: $10 per room per family

This Photo shoot is approx. 5 minutes.

Combined Family for 2 families only available September/October

This session is recommended for:
* 2 Individual families that would like each family taken individually with and
without Santa with 2 different backdrops, then both families taken together.

– $350 for Returning Customers (must have lasting memories logo). If your old USB doesn’t work, you will be required to purchase a new one for $10. 

– $370 for New Customers.

-Additional rooms $10 per room per family.

This Photo shoot is approx. 30 minutes.

We will take photos of each of the families individually with and without Santa, in the Santa room and another room of your choice. We will then take both families together with and without Santa.

*Only 1 family at a time in the studio when taking individual families. We allow a maximum of 10 people in the studio at any time.

You will receive all photos taken (unedited) on a USB straight after your photo shoot. 

Combined Family for 3 families only available September/October 

This session is recommended for:
 * 3 Individual families that would like each family taken individually with and without Santa with 2 different backdrops, then all 3 families taken together.

– $520 for Returning Customers (must have lasting memories logo). If your old USB doesn’t work, you will be required to purchase a new one for $10. 

– $540 for New Customers.

-Additional rooms $10 per room per family.

This Photo shoot is approx. 45 minutes

We will take photos of each of the families individually with and without Santa, in the Santa room and another room of your choice. We will then take all 3 families together with and without Santa.

*Only 1 family at a time in the studio when taking individual families.

You will receive all photos taken (unedited) on a USB straight after your photo shoot. 
We allow a maximum of 10 people in the studio at any time.

This session is great for those families who want memories of their own family plus memories with their closest families.

Due to such high demand for our Santa Photos, we can only offer

combined families in September and October. We do apologize for any inconvenience this causes.

Paws & Claus Pet & Santa Experience

This session is recommended for:
*Families who love their fur babies.

– $100 for Returning Customers (must have lasting memories logo). If your old USB doesn’t work, you will be required to purchase a new one for $10. 

– $120 for New Customers.

Please note that Pet sessions are very different to our other sessions (We only take photos in the Santa room). We take photos of the pet with Santa, and we also include the family/children with Santa and the pet. (Does not include photos without the pet). For an additional $25 we will take some photos of just the children / family with and without Santa (in the Santa room only). Pet sessions include approximately 5-minute photography session. You receive all photos taken on the day unedited, on a USB straight after your photo shoot.

Sensitive Santa Experience

This session is exclusively for children with severe disabilities who need a quiet, calming and stress-free experience.

– $150 for Returning Customers (must have lasting memories logo). If your old USB doesn’t work, you will be required to purchase
a new one for $10. 

– $170 for New Customers.

Please note that Sensitive sessions have been specifically created for children with severe diagnosed disabilities and availability is limited. It is for the children who may not feel comfortable or able to participate in mainstream activities. Please kindly consider this when booking and opt for this only if it genuinely meets your needs. For children with special needs that can thrive in mainstream settings, please book a 15-Minute Magical Encounter with Santa and provide your child’s name and diagnosis when booking so we can craft a tailored experience for your child’s comfort.

Sensitive Santa sessions include approximately 15-minute photography session. You receive all photos taken on the day unedited, on a USB straight after your photo shoot.

Props

We have a variety of props that we can incorporate into our photo’s, including but not limited to glasses, hats, headbands and Christmas jumpers. If you have any of your own props, please feel free to bring them along.

Booking Your Santa

You will have the option to choose your Santa when making your booking, however this doesn’t guarantee that you will get the Santa you booked, as sometimes due to circumstances out of our control, the roster has to change. All our Santa’s have real beards, excellent personalities, and
will provide your children with a magical experience.

Payment Methods Accepted

Please bring CASH to be paid on the day of your photo session, just in case our eftpos facilities are not working due to bad reception issues. If eftpos is working and you are using a card to make payment, there is a 2.4% surcharge on all transactions.

The Hideaways deposits are processed online, and all balances are to be paid, at the time of your appointment. 

Receiving Your Photos

You will be able to take all your unedited photos home on USB on the day of your photo shoot (approx. 5 mins depending on the number of photos taken). There are no printed photo packages available at the hideaway. 

If you would like your images edited, we will provide a USB on the day with your unedited images and for an additional $30 we will edit these images and send them to you via email within 5 days. (Editing involves, sharpening, color balance, cropping and some special effects e.g.: Black and white)

Please Be Patient

Please note, that while we make every effort to stick to the schedule, our booking system is not intended to eliminate wait times but to minimise them, expected wait time may be up to 25 minutes in your car. We apologise for any waiting in advance, especially since we cannot offer you the comfortable waiting area with toys and refreshments as we have in the past. We do have pram and wheelchair access.

Santa’s Hideaway is a private studio set up on a beautiful property in Bringelly. Santa’s hideaway offers a magical experience, no matter what Santa session you choose. Richmond Marketplace is our 2nd location, located in the Hawkesbury, NSW. We are set up outside Big W in Richmond Marketplace, however you will find that whichever location you choose, your children will have an exceptional Santa
photo experience.
