Booking Online
- After selecting your date and time, you will have 15 minutes to complete the booking form. Please include any children’s names, ages, diagnoses, or special requests.
- Please note that any remarks added during bookings will not be reviewed until the day of your session. For urgent matters, please contact us via email, message or phone before your appointment.
Payment Methods
- A deposit is required at the time of booking, which will be used towards your total photo session cost.
- Reception can be unreliable in our area, so we suggest bringing cash as backup.
- Card payments will incur a 2.0% surcharge.
Digital Files Only — No Printed Photos
All photos are delivered unedited on a USB immediately after your session. Printed packages are not available.
For an additional $35, we can edit all photos (white balance, cropping, colour balancing, black and white). You will still receive your original photos to take home on the day. You will receive the edited photos via email within 7 days of your session.
USB Policy
- Bring your Lasting Memories USB for a $20 discount on your session.
- Back up your files—LMP is not responsible for lost or corrupted files.
- Damaged or unreadable USBs must be replaced on the day for an additional $10.
- Only Lasting Memories–branded USBs are accepted.
On Arrival & Timing
- Text 0438 246 806 with your surname, number plate, and car colour upon arrival. Stay in your car until invited in.
- Arrive 5 minutes before your session.
- Late Arrivals: If you arrive more than 10 minutes late, your booking and deposit will be forfeited. For arrivals under 10 minutes late, your session will be reduced by the minutes missed – sessions must end at the scheduled time to avoid affecting the next client.
- Please arrive fully dressed and ready (including hair and makeup) so you can utilise your full session time. Any time spent during your session including for toilet breaks will reduce your available shooting time, as we must keep to the schedule.
- Toilet facilities are available on-site. If you need to use the bathroom, please do so before your session. Knock on the door, and a staff member will let you in.
Preparation & Experience
- Props such as glasses, hats, headbands, and Christmas jumpers are available. Bring your own for personalisation if you wish.
- Dress festively and get ready for an awesome experience.
- Inform us if your child is scared of Santa, as we can magically capture photos without them seeing him first.
Selling & Swapping Policy
- We’ve created a swapping group to make it easier for you to connect with others who want to swap or sell their spots. https://www.facebook.com/groups/793362653135250
- Once you’ve agreed: Send us one message only that includes: 1) The names and email addresses of both parties, 2) the date and time of the spot being swapped or sold and 3) a clear note confirming you’re both happy with the swap or sale
- Swaps: $10 admin fee ($5 per person), charged on the day of your photo shoot.
- Buying a spot: The buyer will be charged an additional $5 processing fee on the day of their photo shoot to cover admin.
- If you’ve already booked a session and would like to swap it, you’ll need to use the Buy & Swap page in our Facebook group here https://www.facebook.com/groups/793362653135250 Please note, we don’t manage this group, and all swaps are arranged directly between customers.
- If you buy or swap a session through the group, you’ll remain responsible for your original booking until it’s officially taken by someone else.
- If you’ve already paid a deposit for your original session, you will forfeit your deposit if you are unable to fill or transfer your original booking.
- We understand that plans can change, but as a small team we unfortunately don’t have the resources to manage session swaps. Your cooperation helps us keep things fair for everyone.
Session Add-Ons: Additional People & Extra Photos
Extra Photos / Add-On Fees
If you require additional photos beyond the standard session (e.g. grandparents, partners, or extra groupings), the following fees apply:
- Magical Sessions — $15
- Fast Sessions — $30
- Pets Sessions (without pets) — $30
- Sensitive Sessions — $15
Add-on fees are due at the time of your booking or prior to delivery of images. All standard booking, cancellation, and late-arrival policies apply.
Cancellation & Refund Policy
Due to high demand and a limited booking calendar, we can’t automatically offer refunds if you cancel. We understand that life happens, kids get sick, unexpected events occur, and we’ll always do our best to work with you.
If you can’t attend your booked session:
- If you are unwell, we require notice. If you provide a medical certificate, we can either reschedule your session (subject to availability) or issue a refund minus the $2.50 booking fee.
- More than 7 days’ notice – We’re happy to reschedule to another available time (subject to availability). If no times are available, or if you choose to cancel, please note that we will retain your initial booking fee of $2.50 and apply a $10 cancellation fee. Your refund will be the original amount paid minus these fees.
- Less than 7 days’ notice – We’ll do our best to move your session to another available time (If there is availability). If no spots are available, 50% of your deposit will be forfeited, which includes the $2.50 processing fee.
- Less than 48 hours’ notice or no-show – Your deposit is non-refundable, and your session will be forfeited.
- If Lasting Memories Photography has to cancel for any reason, you’ll receive a full refund or the option to reschedule.
Patience & Wait Times
We strive to minimise wait times to enhance your experience. However, due to various factors, such as managing children who may not cooperate, there may be instances where wait times exceed our expectations. You may experience a maximum wait time of up to 25 minutes in your car.
We appreciate your understanding and patience during these times as we work to provide the best experience possible.

Richmond Marketplace
Booking Fee
When making your online booking a $32.50 non-refundable deposit is required. $30 will be deducted from your USB price on the day of photography. The remaining balance must be paid in cash on the day of photography.
USB’s Only
There will be no printed photos at Richmond Marketplace. If you are an existing customer, please bring your Lasting Memories USB with you to receive a $10 discount off the full price of $70 (pay only $60). If you do not have a Lasting Memories USB, you may purchase one on the day of photography for $70. If you are bringing back a lasting Memories USB, please back up all of your old photo’s as Lasting Memories Photography is not responsible for missing photo’s or corrupt USB’s.
*You will receive all photos taken on the day UNEDITED.
USB’s Policy
Please note that we do not cover Old USB’s that are corrupt, damaged, or write-protected. If your USB is damaged and we cannot use it, you will be required to purchase a new one on the day of your photo shoot for an additional $10.
*Photos can only be purchased on Lasting Memories branded USB’s. Each family must either provide their own (LMP) USB or purchase one at their photo shoot.
Cancellations, Refunds, Rescheduling and Transfer of sessions.
All deposits are non-refundable. If you miss your appointment, you will be required to pay another deposit to make another booking. The only exception to this is illness, where we will accept a medical certificate.
If you do not attend due to illness and do not notify us prior to your appointment, you will forfeit your deposit. If you notify us prior to your appointment and present a medical certificate, we will try our best to reschedule you. We can only reschedule you within the same month you originally booked, providing there is availability. If there is no availability and we have a doctor’s certificate, we will refund you $30.
You are allowed to reschedule your appointment once only and it must be 48 hours prior to your appointment time. Email us at [email protected]. Please note that you can only reschedule within the same month of your initial booking. Our availability will be limited so we cannot guarantee that we will be able to reschedule you. We will try our best and if we can find you a spot this will incur an additional $2.50 admin fee. If you reschedule and realise you cannot make that appointment, you forfeit your deposit. If there is no availability for a reschedule you will forfeit your deposit. If you cancel your appointment, you will forfeit your deposit.
When booking please choose your dates and times carefully as we book out fast, and availability for reschedules will be limited, so therefore not guaranteed.
If you cannot make your appointment time you can give your session to someone else, however we must be notified 24 hours in advance via email to [email protected]. You must supply us with the person’s booking number, name, contact number, email and their children’s names and ages. It is your responsibility to get back your deposit from the person you are transferring your booking too. There will also be a $2.50 admin fee to change the booking.
On Arrival
We kindly ask that you aim to be at the Santa set (outside Big W) 5 minutes before your session time. Please do not come too early as it means you will have to wait longer. If you have not arrived by your allocated time slot, your time slot may be given to the next person in line which means you will have a longer wait time. Please notify the staff member at the desk when you arrive.
Sitting with Santa
It is up to the individual parents on whether they would like the children to sit on Santa’s knee. Santa is more than happy to hold your babies and sit your children on his lap, if that is what you would prefer.
What is Included in your Photo shoot.
Each family / Group receives 2 poses with Santa (E.g., traditional, reading a book, funny face). Please keep in mind that it is not always possible to take 2 poses when children are scared, unsettled or uncooperative. We only have approximately 5 minutes from start to finish per session. You receive all photos taken unedited on USB after your photo shoot. Maximum of 8 children for any group photo.
Props
We have a variety of props that we can incorporate into our photo’s, including but not limited to glasses, hats, and headbands. If you have any of your own props, please feel free to bring them along.
Booking Your Santa
You will not have the option to choose your Santa when making your booking. All our Santa’s have real beards, excellent personalities, and will provide your children with a magical experience.
Santa sessions
We have approx. 5 minutes. In this time, we will take 2 different poses (not always possible when children are uncooperative). After the photo shoot the children will have time to have a quick chat to Santa.
We only offer photos on USB, there are no printed packages.
USB Prices (including all photos taken unedited)
– $60 for Returning Customers (must have lasting memories logo). If your old USB doesn’t work, you will be required to purchase a new one for $10.
– $70 for New Customers.
Group Sessions
If you are wanting group photos and no individual families, you only need to book one session. If you book one session and come as a group, we will only take photos of the group together, we will NOT take individual families (all photos must consist of the same group). We can add parents with the group if requested. Maximum of 8 children in any group photo at any one time and approx. 5 minutes with Santa.
If you would like individual families plus a group photo you must book a spot for each family plus an extra spot for the group (e.g.: 2 families need 3 spots).
Pet Sessions
Please note that you must enter via the Trolley doors in the loading dock next to BIG W. We take photos of the pet with Santa, and we also include the family/children with Santa and the pet. (Does not include photos without the pet). For an additional $15 we will take some photos of just the children / family with Santa.
Pet sessions include approximately 5-minute photography session. You receive all photos taken on the day unedited, on a USB straight after your photo shoot.
After the photo shoot the children will have time to have a quick chat with Santa.
*For the safety of our staff and customers, you must have your pet on a leash or in a carrier and your pet must be washed and groomed.
Sensitive Sessions
Sensitive Santa is offered to families who have children with special needs. Special needs is an umbrella for many different diagnoses. Children with special needs may have mild learning disabilities or profound cognitive impairment. Special needs are defined as: mental, emotional, or physical problems in a child that requires additional or specialized services or accommodations.
Our Sensitive Santa offers approximately 10-minute time slots with Santa. It is designed for children with sensory issues. The children get longer than a normal session with Santa early in the morning when the shopping Centre is at is quietest. Our aim is to allow the children to get comfortable with Santa so we can take some amazing photos, that you can cherish.
Extra Poses
If time permits and you would like extra poses for example a photo of the family/children without Santa, it is an additional $15 per pose. If you are having individual photos and would like a group photo as well, this is not classed as an extra pose. Group photos must have a separate booking.

Richmond Marketplace deposits are processed online and all balances are to be paid at the time of your appointment.
Receiving Your Photos
You will be able to take all your unedited photos home on USB on the day of your photo shoot (approx. 10 mins depending on the number of photos taken). There are no printed photo packages available at Richmond Marketplace. If you would like your images edited, we will provide a USB on the day with your unedited images and for an additional $30 we will edit these images and send them to you via email within 5 days. (Editing involves, sharpening, color balance, cropping and some special effects e.g.: Black and white)

Please note, that while we make every effort to stick to the schedule, our booking system is not intended to eliminate wait times but to minimize them, expected wait times may vary, if children before you are uncooperative. We apologize for any waiting in advance.

By booking a session, I confirm that:
- My deposit is non-refundable except as stated in the cancellation policy.
- I understand that arriving more than 10 minutes late will forfeit my booking and deposit.
- I accept that all photos are provided unedited on USB, and printed packages are not available.
- I agree that my booking details are accurate and that any urgent needs have been communicated directly to staff.
- I understand that pets must be restrained, clean, and safe for staff and Santa.
- I agree to behave respectfully towards staff and other customers at all times.
